Plan the airport-to-hotel journey before you fly. Save your hotel's full Chinese name and address, identify the arrival airport and terminal, and choose a main transport option with one backup. Keep the details available without mobile data. A clearly agreed meeting point or a staffed taxi queue is easier to navigate after a long flight than an improvised arrangement.
Your first hour outside the airport does not need to be an introduction to every app in China. It needs to get you, your bags and your travelling companions to the right hotel. A little preparation leaves the first evening free for a meal, a shower and a quieter look at the neighbourhood.
Save the airport, terminal and hotel together
Beijing Capital (PEK) and Beijing Daxing (PKX) are different airports. So are Shanghai Pudong (PVG) and Shanghai Hongqiao (SHA). Check the airport code on the issued flight booking, then confirm the terminal. Use those details when arranging a car or looking up a train.
Save the hotel's Chinese name, complete street address, telephone number and branch. A familiar international brand can have several properties in the same city. A screenshot of the hotel pin is useful alongside the written address; the brand name alone is not enough.
Your offline arrival note
- Flight number, arrival date, airport code and terminal.
- Hotel name and full address in Chinese.
- Booking reference and check-in contact.
- Chosen transfer, meeting point and backup.
- The number to call if the flight is delayed.
Settle the documents for your actual route with the visa and entry guide. Keep that preparation separate from the practical journey after border inspection, baggage collection and customs.
Pause before leaving the arrivals area
Once you have your bags, check that you can open the address and contact whoever is meeting you. If a bag is missing, speak to the airline's baggage desk before leaving the baggage area. Keep the baggage tag and any report reference.
Beijing's official visitor service counters at its international airports and Pudong's visitor services can help with practical arrival questions. Look for a staffed airport information or service counter if you cannot locate your onward transport. Use your terminal's current signs rather than a photograph of an exit from someone else's trip.
For mobile data, work through the internet and eSIM guide. If the connection needs more time, use the saved address and your transport backup; you can finish setting up at the hotel.
Choose for the whole journey to the door
| Option | Useful when | Check before choosing |
|---|---|---|
| Airport rail or metro | You can manage your bags and the hotel is easy to reach from a station. | Last departure, transfers, lifts and the walk from the correct exit. |
| Official taxi queue | You want a direct journey without arranging a car in an app. | The signed taxi rank, full address, payment method and receipt. |
| App-booked ride | Your account works and you can find the designated pickup zone. | Exact terminal, pickup level or zone, registration plate and contact method. |
| Pre-arranged transfer | You want the meeting details settled before departure. | Meeting point, waiting allowance, flight-delay procedure, vehicle and total agreed price. |
A short train ride can still involve a transfer, stairs and a walk with luggage. Compare that complete journey with a direct car, especially after an overnight flight or when travelling with children. For rail into the city, check the timetable for the day you land. An airport's transport options do not all operate around the clock.
Shanghai has several airport rail services with different routes. Beijing's two airports have different airport express connections. Select the service by your hotel location and arrival terminal; the word “airport train” does not identify a single route.
Confirm the car before you put your bags inside
- Go to the agreed place. A taxi rank, an app pickup bay and a private driver's meeting point may be in different areas.
- Check the booking details. For an app ride, match the plate and vehicle to your booking. For a private transfer, use the agreed identification or contact method.
- Confirm the destination. Show the full Chinese hotel address, including its branch.
- Keep a record. Retain the app journey, booking confirmation or taxi receipt until you have arrived and checked your belongings.
Ask an official airport desk for directions if someone approaches offering a different ride. Stay with the transport arrangement you can identify and verify. Our DiDi instructions explain choosing a destination and checking a ride.
Use a simple backup when plans change
The flight is late: tell the transfer provider and hotel when you can. Check whether the driver follows the flight and how long the agreed wait lasts. A flight-tracking promise and an unlimited waiting allowance are different things.
You cannot find the driver: remain at an identifiable, staffed location. Send the terminal, level and nearby sign through the agreed contact method. Avoid walking between exits while the driver is trying to locate you.
Rail has finished or your phone is unusable: ask the airport desk for the official taxi queue or another operating service. Show the saved address. The payment guide's card and cash backup is useful here.
Leave the first evening some room
Confirm late check-in with the hotel before flying. An early arrival also needs a plan: ask whether the room will be ready or whether bags can be stored while you have breakfast. Neither early check-in nor luggage storage should be assumed.
Keep the first meal close and easy to change. A short walk can help you learn the nearest corner, shop and hotel entrance without turning the day into another itinerary. Continue with hotel booking and check-in or your first meal in China.
Before you move on
Questions you may still have
Should I use a train or a car after landing?
Compare the complete journey to your hotel, including transfers, luggage and the final walk. Check the airport rail timetable for your arrival time; an official taxi or confirmed transfer can be easier after a late flight.
What if I cannot contact the driver?
Stay at a staffed, identifiable point, check the agreed meeting instructions and use the provider's contact method. Ask airport information staff for help instead of moving between exits without communicating.
Can I organise the transfer without mobile data?
Prepare the Chinese hotel address, booking and meeting instructions offline. Keep a supported payment backup and know how to find the official taxi queue or airport service counter.
